Reservations, deposits and balance payments

A 30% non-refundable deposit of the total tour cost is required to confirm a reservation. The remaining balance is due no later than 60 days before the scheduled departure. Payment terms for last-minute bookings will be provided at the time of reservation.

We accept bank or wire transfers and credit cards, including Visa and MasterCard. A 5% bank surcharge applies to credit-card payments.

Credit-card payments

Visa, MasterCard and American Express payments may be made through a secure online payment link provided on request. A 5% credit-card processing fee applies.

Cancellation policy

Cancellations must be submitted in writing. Charges are based on the number of days before the tour start date:

• 90 or more days before departure: 30% of the total booking cost.
• 89 to 60 days before departure: 40% of the total tour cost.
• 59 to 30 days before departure: 50% of the total tour cost.
• 29 days or fewer before departure: 100% of the total tour cost.

Travel insurance is highly recommended. It should cover, at a minimum, trip cancellation, trip delay, interruption, medical evacuation and medical expenses.

Accommodations and itinerary changes

Accommodation and scheduled activities may change because of circumstances beyond our control. We will make reasonable efforts to operate each tour as planned, but modifications may be necessary after an itinerary is published. Prices are based on shared double or twin-room occupancy. Single occupancy is available for an additional supplement communicated during booking.

We may adjust an itinerary due to flight schedule changes, security concerns, weather or other unforeseen events.

Client representation and special requests

By making a reservation, the lead traveller confirms they are authorised to act for everyone included in the booking. Payment of a deposit or any part of the tour cost confirms acceptance of these terms by all participants, whether or not a signature is provided.

Please tell us about dietary needs, adjoining rooms, smoking preferences or other special requirements at the time of booking. We will make every reasonable effort to accommodate them, but cannot guarantee all requests.

Claims, refunds and participation

Unused services are not refundable unless exceptional circumstances apply. A tour that a participant leaves early is non-refundable. Claims must be submitted in writing within 45 days of the tour end date, with supporting documentation and a written statement from G-Family Adventure Safaris for consideration.

Our tours can involve physical activity. Guests with heart conditions, chronic illnesses, physical disabilities or advanced pregnancy should consult a physician before booking. Personal belongings remain the traveller's responsibility. Domestic flights may impose baggage limits, which will be shown in the itinerary.

Tour inclusions and exclusions

Unless stated otherwise, tour prices include accommodation in shared twin or double rooms (or tents where applicable), meals shown in the itinerary, bottled water during safari and trekking, qualified guides, porters and cooks for mountain climbs, driver-guides and cooks for camping safaris, applicable park and conservation fees, museum charges, government taxes, and a private safari vehicle with a guaranteed window seat for each guest.

Tour prices do not include international flights or visas, travel insurance, excess baggage charges, airport departure taxes unless specified, personal expenses, tips, beverages not listed, laundry, communications, or meals and activities not listed in the itinerary.

Tour cost adjustments and photography

Prices may change because of increases in government taxes, park fees, airline fares or fuel surcharges. We will notify guests in advance if adjustments apply.

G-Family Adventure Safaris may photograph or film tours. By booking, participants give permission for that media to be used for promotional or commercial purposes without compensation.

Acceptance

By making any payment to G-Family Adventure Safaris, you confirm acceptance of these terms and conditions on behalf of all participants in your booking.
